Your business records

Move your records with their history intact

Your useful records include more than names and email addresses. Notes, activities and attachments help preserve the history of your client relationships.

Prepare your records for a move

  • Start with an inventory

List the contacts and notes you have permission to move. Add permitted activities and files to the inventory. Check the usage terms for company leads and licensed property data separately.

  • Keep the originals

Retain your original files and a dated export while checking the new system. Store that copy separately from the working import. Keep a note of the source application and the day you exported the records.

  • Check a small sample

Start with a small sample you have permission to move. Match the names and dates, then check the notes and attachments. Resolve any differences before moving the larger collection.

  • Reconcile the result

Compare the exported and imported record counts. Check that notes remain attached to the right contact and that file links open. Record any missing items before relying on the new system.

  • Review permissions separately

Check the vendor’s export format before choosing an import method. Keep a copy of the terms that explain access to licensed property data. Review those data rights separately from your own contacts.

  • Test the format

Open a permitted export before choosing an import method. Check how it stores names and dates. Confirm whether attachments travel in the export or need their own permitted transfer.
